The timesheet

Pick the pay period, a project or an employee, and the timesheet adds it all up: gross hours, break time, payable hours, the total amount based on each worker’s rate, and how many people worked. Export it to CSV for payroll, or add time by hand when someone forgot to clock in.

Approvals

Overtime

The employee hours summary lists everyone in the pay period with gross hours, break time, payable hours and what they are owed at their own rate. Overtime is flagged on the worker automatically, by the week it happened, so it gets paid right the first time.

Every entry, every break
Open a worker and see every time entry in the period, day by day: the clock-in and clock-out, the project and its number, the break taken off, the paid hours and the amount. Edit or delete an entry when something needs fixing, with the approval status right there.

How does GPS time tracking work?
Crews clock in on their own phones when they arrive, and GPS confirms the clock-in happened on site. Hours run against the right project automatically from that moment.
Can I see if someone clocked in off site?
Yes. Every check-in and check-out is marked on site or off site against the project location, and you can open the exact spot on a map with the coordinates.
How do timesheet approvals work?
Entries waiting for sign-off are grouped by worker with the day, job, times and hours. Approve or reject each entry, or approve the whole week at once. Only approved time counts toward the pay period.
Does SubTrade calculate overtime?
Overtime is flagged on the worker automatically by the week it happened, and the hours summary shows gross, break and payable hours with the amount owed at each worker’s rate.
How are breaks handled?
Breaks are deducted from the entry and shown on it, so the timesheet shows gross hours, break time and payable hours separately.
Can I export timesheets for payroll?
Yes. Filter by pay period, project or employee and export the timesheet to CSV for your payroll provider.
What if a worker forgets to clock in?
Create a time entry by hand from the timesheet, or edit an existing entry. Every entry keeps its approval status.
Can I see who is on site right now?
Yes. Live status shows every crew member currently clocked in, on which site, with their running hours.
Does it work without cell signal?
Yes. Clock-ins work offline, in the parkade or the basement, and sync the moment the phone finds signal again.
How does this feed job costing?
Every hour lands on a project, so labour cost per job updates live and rolls into the project’s total cost and projected margin.
